HIPAA Compliance Manual

A customized HIPAA Compliance Manual contains the documentation required by the regulations on privacy, security and employee policies. Operating forms are included in the manual and on the web site for ease of customization for your office. The manual also includes State laws and regulations that relate to HIPAA and State Identity Theft laws.

Manuals are updated annually which is extremely important now with the regulation in a constant state of change for the next few years.

Office & Program Review

The office inspection, Security Risk Analysis Checklist and program review will identify gaps between current processes and the regulatory requirements. During the training the TMC consultant, with the Privacy/Security Officer, completes the required Risk Analysis checklist. All patient forms are reviewed to ensure compliance. Courts are recognizing HIPAA as the standard of care which places a greater burden on the Privacy Officer. The TMC consultant works with your Privacy and Security Officers to design and administer a HIPAA Program that will reduce risk for your office.

Staff Training

The staff training session, conducted by the TMC consultant, covers the Privacy Rule and the Security Rule requirements as well as behaviors, specific to your practice, to comply with the regulatory and administrative requirements for the practice. Your employees will understand their role in complying with the regulation and dealing with patient rights and Identity Theft laws. Online training is available for new and temporary employees hired during the year. TMC designates this activity for 1.0 contact hours of continuing education credit.

Objectives:

  • Recall basics protections for patients outlined in the Privacy Rule.
  • Discuss allowed use and disclosure of patient information as outlined in the Privacy Rule.
  • Discuss general privacy behaviors necessary to protect patient information.
  • Recognize standards required by the Security Rule necessary to protect electronic health information.
  • Identify policies and procedures of the office relative to the employee’s position and responsibilities.
  • Recognize inappropriate behaviors for which discipline may occur as outlined in the practice sanction policy.
  • Discuss how to report any incident which may result in an impermissible use or disclosure of patient information.
  • Discuss new enforcement of HIPAA regulations and its impact on practice operations.
  • Discuss identification of breach situations and reporting process to impacted patients.

Privacy/Security Officer Training Webinar

Initial training is conducted as the HIPAA program is designed and implemented.  Webinars are conducted to train new Privacy Officers that might be assigned throughout the year or as a refresher course for an existing officer.
Objectives:

  • Recognize the requirements of the HIPAA Privacy and Security Rule.
  • Define breach and explain how to report an identified breach.
  • Describe how to prepare a Risk Analysis for their respective practices.
  • Identify resources to support the practice with questions related to HIPAA issues.
